ROLE SUMMARY
The incumbent will be part of a functional team that is responsible for providing project administration, coordination and management services to ensure projects meet the company' s Quality and Project Management standards and other requirements. He/she will advise on project management best practices while supervising the complete lifecycle of a project with direction from the Project Manager.
RESPONSIBILITIES
- Leads project planning and assists with the preparation of work plans, schedules, and budgets
- Acts in a backup support capacity for the Project Manager in his/her absence
- Assists and contributes to the management of project scope, risk and procurement management processes
- Facilitates meetings through activities including but not limited to scheduling, preparing meeting agendas and drafting of meeting minutes
- Assist Project Manager with the development and implementation of document controls, communication protocols and other project management systems
- Assists Project Manager with development of Document Control Plan as part of project planning
- Attends project status meetings and prepares reports and other associated documentation
- Leads small, low risk projects from initial concept, through the planning process to implementation
- Monitors and coordinates scheduling and budget performance, in conjunction with the Project Manager
- Provides support in cost control management for all assigned projects
- Support staff planning for all assigned projects
- Supports Change Management in coordination with the Project Manager
- Coordinates the integration of sub-consultant work with project scheduling and budgeting
- Liaises with the Finance group for internal and sub-consultant invoice management
- Interacts directly with the Client for payment in the event of overdue Accounts Receivables
- Reviews contracts terms and conditions and provides knowledge and counsel as needed
- Prepares and develops change orders in conjunction with Project Manager and clients
- Prepares sub-consultant agreements and amendments
- Communicates Quality and Project Management requirements to project teams and any other relevant stakeholders as appropriate
- Ensures QMS requirements are performed prior to issuance of deliverables and resolves Project NCR' s
REQUIREMENTS
- Completion of post-secondary education in engineering, business, project management, construction management or related field
- Minimum 7 years' previous relevant experience in a similar project management role or equivalent
- Project Management Professional (PMP) certification or ability to obtain
- Proficient in cost control management (Earned Value Management) for projects of various sizes
- Superior planning and organizational skills combined with the ability to work under pressure on multiple and competing deadlines
- Ability to adjust to changing priorities, deal with ambiguity and work with a variety of stakeholders
- Collaborative teamwork and leadership style
- Strong knowledge of ISO 9001 Quality Management
- Proficient in scheduling software such as MS Project, Primavera, and/or CPM Logic, or equivalent
- Ability to work with staff located remotely
- Experience in the A/E/C industry an asset
